1. Overview
Visionentive provides consulting and advisory services rather than physical goods or downloadable products. Each engagement is defined in a written proposal that sets out the scope, deliverables, fees, and timeline. This Refund & Cancellation Policy explains the basis on which an engagement may be cancelled and when fees may or may not be refundable. Where your proposal contains specific terms, those terms apply in addition to, and where they conflict take precedence over, this general policy.
2. Cancellations before work begins
If you cancel an engagement after accepting a proposal but before we have begun substantive work, you are entitled to a refund of any fees paid, less any non-refundable deposit and less reasonable costs we have already incurred in preparing for the engagement (for example, scheduling and preparatory review). We will always tell you what, if anything, has been incurred at the point of cancellation.
3. Cancellations after work has begun
Once we have started work, fees are earned in proportion to the work performed and the deliverables prepared up to the date of cancellation. This means:
- Amounts corresponding to analysis, documentation, or advisory work already completed are non-refundable.
- Any prepaid amount that exceeds the value of work performed will be refunded to you.
- Where a deliverable is substantially complete, it will generally be treated as delivered for the purpose of calculating earned fees.
We will provide a short written summary of the work performed so the calculation is transparent.
4. Deposits and reservation fees
Some engagements require a deposit or reservation fee to secure a place in our schedule. Unless your proposal states otherwise, deposits are non-refundable once we have reserved time for your engagement, because that reservation prevents us from offering the same capacity to others. The deposit is credited against the total engagement fee.
5. Rescheduling and missed sessions
We understand that priorities shift. If you need to reschedule a planned consultation or working session, we ask for reasonable advance notice so that we can adjust our schedule. Sessions missed without notice, or rescheduled at very short notice, may be treated as delivered or may incur a rescheduling fee where this is set out in your proposal.
6. How to request a refund
To request a cancellation or refund, contact us in writing using the details at the end of this page, stating your engagement reference and the reason for the request. We aim to acknowledge refund requests promptly and to resolve them within a reasonable period after we have confirmed the details with you.
7. How refunds are issued
Approved refunds are issued using the same payment method originally used, unless we agree otherwise with you. The time it takes for a refund to appear depends on your payment provider and is outside our control. We do not charge a fee for processing a legitimate refund.
8. Exceptions and dissatisfaction
Because our deliverables reflect professional judgment and analysis rather than a guaranteed outcome, dissatisfaction with a recommendation or with a business result is not, by itself, grounds for a refund of work properly performed. If you believe a deliverable does not match the agreed scope, please tell us promptly; our first step will always be to review the concern and, where appropriate, correct or complete the work.
If you initiate a payment dispute or chargeback without first contacting us, we may suspend any active engagement while the matter is resolved. We would always prefer to resolve concerns directly and fairly.
